UNDERSTANDING THE NUMBERS

What Does the Wrong Hire or Provider Really Cost?

The cost of the wrong hire or delivery partner is rarely just the salary or fee you pay. Recruitment or sourcing costs, onboarding, management time and the cost of starting again can all add to the financial impact before the business is back where it started.

01

Salary or Fees Paid Before You Know It Isn't Working

A poor hiring or provider decision is rarely obvious on day one. A business may spend one, three or six months paying a salary, retainer or delivery fee before it becomes clear that the capability, provider or expectations are not working as intended.

The calculator includes: the monthly salary or provider fee multiplied by the time taken to recognise that the hire is not delivering as expected.

02

Recruitment & Sourcing Costs

Some businesses recruit or source directly, while others use an external recruiter, search partner or specialist sourcing service.

The calculator lets you model sourcing costs at 0%, 12%, 15%, 20% or 25%+ of annual salary. Select 0% where no percentage-based recruitment fee applies.

03

Onboarding & Setup Costs

Getting somebody ready to perform can involve much more than simply adding them to payroll.

  • Visa or work permit costs
  • Medical tests and health insurance
  • Laptop, phone or specialist equipment
  • Software licences and system access
  • Payroll and HR administration
  • Training and role-specific setup
  • Provider implementation or mobilisation costs

Some setup costs may be reusable if the hire is replaced, while others may need to be incurred again.

04

Founder & Management Time

Selecting, onboarding and managing a new hire or external provider also consumes time from the people already running the business.

Interviews, briefing, onboarding, approvals, training, coordination, reviews and performance management can all take leadership attention away from other priorities.

The calculator lets you assign a value to that time so it is visible rather than treated as free.

05

The Cost of Starting Again

Ending an unsuccessful hire or provider relationship does not remove the original business need. The capability still needs someone to own it.

Depending on the delivery model, that can mean another recruitment or sourcing process, further onboarding and setup costs, additional management time and another period before execution is fully underway.

This is why the calculator separates the failed attempt from the potential cost of restarting the hire.

06

What the Calculator Doesn't Include

The calculator deliberately focuses on direct costs that can be estimated without assuming every failed hire causes the same commercial impact.

The wider impact may include delayed projects, lost sales opportunities, slower execution, disruption to existing teams, missed growth targets or the opportunity cost of pursuing the wrong approach.

These consequences vary significantly between businesses, so they are not included in the calculation. The aim is to keep the estimate transparent and defensible.

BEFORE YOU COMMIT TO THE HIRE

It is not a generic job description or provider brief. It is a practical plan for what needs to be achieved, who should own it and how the business should set that capability up for success.
